Box Office Manager:
The Box Office Manager will be responsible for running a professional and efficient box office. This student will act as the face of the Festival and will have exemplary organization and communication skills in order to interact successfully with patrons, staff, and volunteers.
-Taking ticket orders using Theatre Manager ticketing software
-Running box office reports as required
-Front line of service in selling tickets for summer performances
-Interact with the public over the phone and in person to sell tickets during office hours
-Working with confidential information, processing payments, and updating patron data
-Operate the off-site box office at concerts
-Work with the Volunteer Coordinator to train box office volunteers in early May
-Training/refreshing the box office volunteers at concerts and off-site locations
-Maintain patrons database of information
-Supervise box office alternate Saturdays 10am – 2pm
-Facilitate telephone campaigns
Box Office Assistant:
The Box Office Assistant will be responsible for assisting the Box Office Manager with selling tickets using Theatre Manager ticketing software, help with office organization, and learn administrative and reception skills. In addition, this student will shadow the Box Office Manager at summer concerts, which includes selling and distributing tickets, managing on-site volunteers and working to ensure a smooth box office experience with our patrons.

Office Assistant/Merchandise Coordinator:
The Office Assistant will be responsible for assisting the Office Manager with administrative tasks and reception. Additionally, this student will gain experience in managing the sale of recordings (both by guest artists and The Elora Singers) throughout the Elora Festival.
-Help organize the Festival office
-Administration and reception
-Organize and supervise The Festival Shop during summer performances
-Organize and catalogue The Elora Singers CD’s
-Coordinate with guest artists to sell their own CD’s and merchandise
-Sell CD’s and merchandise at concerts
-Manage on-site shop volunteers
-Reconcile sales post concert
Hospitality Coordinator/Marketing Assistant:
The Hospitality Coordinator/Marketing Assistant will be responsible for all hospitality required by The Elora Singers during its residency at the 2017 Elora Festival summer season as well as tracking and ensuring the hospitality needs of our guest artists.
-Organize all rider requirements for the choir and guest artists, organize receptions and apply for necessary licenses
-Coordinate beverage and food reception at summer concerts
-Order supplies and manage inventory
-Arrange transportation and accommodation for out-of-town choir members
-Network with the surrounding community, BIA and businesses to promote The Elora Singers
-Contact 2017 choir members to arrange complimentary tickets and confirm hospitality needs
-Attend concerts and help manage venues
-Assist Marketing Manager by distributing Singers materials, writing press releases and greeting media personnel at concerts
-Help coordinate for the launch of The Elora Singers season.
-Manage the Singers’ table at the local Festival Faire on July 8, 2017
The Choir Coordinator will assist The Elora Singers Manager in the administration and coordination of The Elora Singers schedule for the portion of the season spanning May-June, including 5 days of recording, a three day tour in June, 17 performances for the Elora Festival, as well as their remaining Toronto Mendelssohn engagements. Assistance will also be needed for the preparation of the 17/18 Winter Series.
-Create and maintain a contact database for the current Elora Singers, as well as a database of singers’ availability
-Create an online rehearsal and performance schedule. If at any time a change is made to the schedule, a new schedule will be emailed to all contracted singers, posted on the chorister web page, and a hard copy distributed at the next rehearsal. Copies of the new schedule will also be given to the Artistic Director, General Manager, Production Manager, and the appropriate personnel of any effected venue
-Provide The Elora Singers bookkeeper with all singer contact information needed to complete payroll
-Contact singers in a timely fashion to establish availability, providing the schedule, venue, repertoire and pay
-Assist The Elora Singers Manager with advertising and programming requirements as they may arise during the season
-Assist The Elora Singers Manager with grant applications and reports
-Provide stage management support for events including confirming all required staff are present and briefed, meeting/greeting the choristers, introducing them to the technicians and other applicable support staff, reviewing production schedule details (i.e., event start time, breaks) assigning dressing rooms, as well as issuing/receiving cheques, keys, and deposits
-Ensure the “house” is prepared and all front of house details are addressed (reserved seating assigned, wheelchair access/seating, lobby set up, display material, etc.)
Ensure everything is in order during an event regarding set-up and production
-Other related duties such as placing event signage, access control, etc.
-Assist Hospitality and Marketing assistant with travel arrangements, billeting, dietary requirements, etc. for singers
-Assist Librarian with the distribution and cataloguing of music scores and parts
-Various sundry other duties that are not included in this outline that may arise during the course of employment to be decided mutually agreed upon by The Elora Singers Manager and the Choir Coordinator.
The Production Assistant represents the Production Department in all Elora Festival venues. This student participates in the production of an event by responding to issues relating to an event-in-progress as well as to concerns regarding the operation and usage of the venues. The Production Assistant acts as liaison between the user group/performers/media/programmer(s) and the Elora Festival.
-Provide stage management support for events including confirming all required staff are present and briefed, meeting/greeting the user group and performers, introducing them to the technicians and other applicable support staff, reviewing production details, assigning dressing rooms, ensuring hospitality requirements are met, and issuing/receiving cheques.
-Ensure the “house” is prepared and all front of house details are addressed (reserved seating assigned, wheelchair access/seating, meet and assist VIP’s, lobby set up, display material etc.)
-Ensure everything is in order during an event regarding set-up, production and strike
-Other related duties such as completing event reports, placing event signage, access control, securing venues, and ensuring building fire & emergency regulations and room capacities are adhered to.
