Elora Festival & Singers (EF&S) Patron Services Manager / Administrative Assistant

JOB PURPOSE AND REPORTING STRUCTURE

Reporting to the General Manager, the EF&S Patron Services Manager / Administrative Assistant provides front line patron services and administrative support through a variety of tasks to ensure the day-to-day operations of the office are maintained and run smoothly.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as front-line patron services manager in the office and off-site. Screen and handle general phone calls/inquires while ensuring a patron-focused environment.
  • Enter ticket sales, donations, and patron information in the CRM database (Theatre Manager) and extract reports as required.
  • Serve as the resource for the CRM database (Theatre Manager) for the organization. Enter codes, concerts, ticket prices, and other information. Pull reports as requested.
  • Prioritize internal and external email and correspondence and respond to the EF&S general email address.
  • Perform routine office/clerical functions in the support of day-today operations for the office.
  • Organize and maintain general office files.
  • Maintain a grant application calendar and assist senior staff in coordinating duties for funding applications, including creating reminders for any follow up reports and grant deadlines.
  • Maintain office equipment, service contracts, office supplies and manage postage and mail services.
  • Understand the demands upon the time of senior staff. Record, prioritize and advise senior staff of information that affects their responsibilities and time.
  • Maintain the flow of information between staff.
  • Support with HR tracking for time off, internal policies, staff events, staff recognition, recruiting and more.
  • Attend Staff Meetings, Annual General meeting and concerts as required.
  • Perform special assignments / projects as requested by the Senior Staff.

REQUIREMENTS

  • Minimum five years of experience in a patron focused office environment.
  • Strong administrative skills.
  • Demonstrated ability to handle multiple priorities, confidentially, with the highest level of professionalism in a fast-paced environment.
  • Must have good attention to detail with high degree of accuracy and follow through.
  • Proficient typing, transcription, Microsoft Word, Excel, PowerPoint, email and scheduling skills required.
  • Strong working database knowledge required. Experience with Theatre Manager is an asset.
  • Effective business writing, organizational, communication, and interpersonal skills required.
